Presenter Guide: Joining, Navigating, and Accessing Sessions

  • Each of you will receive a Zoom link directly to your email. This link is special because it gives you Alternative Host access for your assigned session. Please make sure to use the same email address you submitted with your proposal, as that is the one connected to your hosting access.

    If you use a different email address, Zoom will not recognize you as a host or presenter, and you may not be able to start or manage your session.

  • As a Speaker, you can:
    ✓ Mute and unmute yourself whenever you need to speak.
    ✓ Start and stop your video when you are ready to be on screen.
    ✓ Respond to attendee questions either verbally or through the chat.

    As an Alternative Host, you can:
    ✓ Begin your session at the scheduled time using your Zoom link. We trust you to start your session when it is time, and our team will be standing by to support if needed.
    ✓ Manage your own session, including sharing your screen if needed.
    ✓ If, for any reason, you are unable to start your session, please inform us immediately and we will open it for you.

  • Your speaker bio will appear both on the event page and in the Conference Lobby. This helps attendees learn more about you and your work before they join your session. If you notice any errors in your bio, please let us know so we can update it.

    • Check your Zoom link in advance to ensure you can access the meeting. Join your session at least 10 minutes early to test your microphone, video, and screen sharing if needed.

      • Keep your presentation file or slides ready on your computer.

      • Make sure you are in a quiet, well-lit space with a stable internet connection.

      • Review your session title and timing in the Sessions tab within the Conference Lobby to confirm details.

    Once you are ready, start your video, greet the attendees warmly, and enjoy sharing your ideas. You are in charge of your session, and our team will be available to support you if you need any help.

LatAm Conference Presenter Slide Checklist

Please ensure your presentation slides include the following elements:

I. Core Presentation Structure

  1. Clear and Engaging Title
    Craft a title that draws in your audience and reflects your topic accurately.

  2. Introduction (Hook + Overview)
    Begin with a brief hook to engage participants, followed by a short overview of your session.

  3. Agenda/Outcomes for Participants (2 or more)
    Clearly outline what participants will learn or take away from your session.

  4. Main Content
    Present your ideas in a well-organized, coherent format with clear relevance to high-ability/gifted learners (HAGT).

  5. Conclusion (Summary + Call to Action)
    Wrap up with a brief summary and invite participants to take specific next steps or reflect.

II. Content Specifics – Required for the LatAm Conference

  1. Updated Research Sources (2019 or later)
    Include recent references or data points that support your content.

  2. Interactive Discussion Opportunities
    Plan at least one moment for engagement (e.g., Q&A, turn-and-talk, chat box prompts).

  3. At Least One Resource Link
    Add a helpful article, tool, or downloadable resource participants can access after your session.

  4. At Least One Actionable Strategy
    Share a specific, practical strategy that participants can try in their own contexts.

  5. Culturally Relevant Examples or Context
    Incorporate examples or references that reflect Latin American education, students, or settings.

  6. Clear Visual Aids
    Use relevant, high-quality visuals with minimal text per slide to support your key ideas.

  7. Pacing and Time Management
    Structure your content to fit within the time limit, allowing space for interaction or reflection.

  8. Accessibility Considerations
    Ensure fonts are large and clear, use high-contrast colors, and avoid overcrowded slides.
